Book leave in Access Evo Navigator

Employees can request leave, view leave request history, and check their leave balances directly from Access Evo Navigator, without needing to navigate to a separate payroll system.

The Book Leave quick action gives employees a self-service way to submit leave requests directly from the Access Evo Navigator tab. Leave requests are automatically routed to the line manager for approval through the existing XD Payroll workflow. The quick action has three tabs: Book Leave, Leave Requests, and Balances.

This feature is available to all clients.


Access the Book Leave quick action

  1. Log in to Access Evo Navigator.

  2. From the Navigator tab, select the Book Leave quick action.

  3. The Book Leave right panel opens on the Book Leave tab.


Book Leave tab

The Book Leave tab contains the leave request form. Complete the following fields to submit a request:

Select the payroll appointment to book leave against. Employees with multiple appointments must select the relevant one.

Leave Type

Select the type of leave. Available types are configured in XD and may include Annual Leave, Certified Sick, Flexi Leave, Jury Service Leave, Maternity Leave, Adoption Leave, and others.

Day Duration

Yes

Select Full Day or Part Day. Part Day is only available when a single date is selected.

Select Dates

Yes

Select the date or date range on the calendar. Use the arrows to navigate between months. The selected period is shown at the bottom of the panel.

The calendar is colour-coded to show existing leave at a glance: Approved leave (solid green), Pending leave (amber), and Part-day leave (light green outline). The selected period is confirmed at the bottom of the panel before submission.


Submit a leave request

  1. On the Book Leave tab, select your Appointment and Leave Type.

  2. Select Full Day or Part Day, then select the date or date range on the calendar. Part Day is only available for a single date.

  3. Select Submit Request. The selected period is confirmed at the bottom of the panel before you submit. A confirmation message is displayed on successful submission, and the request is routed to your line manager for approval.

Leave requests are synchronised with PeopleXD Payroll and routed automatically through the existing approval workflow.

πŸ“ŒNote: All required fields must be completed before Submit Request becomes active. Available leave types are configured in PeopleXD by your payroll administrator and may vary.


Leave Requests tab

Select the Leave Requests tab to view your leave request history. Each request card shows the leave type, date, appointment, and the date it was submitted. Requests can be filtered by status using the tabs at the top of the list:

  • Pending β€” submitted and awaiting line manager decision.

  • Approved β€” approved by the line manager, with the approval date shown.

  • Taken β€” approved leave that has passed.

  • Rejected β€” declined by the line manager, with the rejection date shown.

  • Cancelled β€” requests that have been cancelled.


Balances tab

Select the Balances tab to view your current leave balances. Balances display your total entitlement, leave taken to date, and remaining balance for each leave type. Balance information is drawn in real time from PeopleXD Payroll.


Menu options required

To enable the Book Leave quick action, administrators have two options:

Option 1 β€” Navigator Configuration screen

From the Navigator Configuration screen, locate Book Leave in the Menu Options list and select Enable. To access Navigator Configuration:

  1. From the Administrator Dashboard, select Site Manager.

  2. Select Open next to Navigator Configuration.

  3. Select the Menu Options Configuration tab.

  4. Locate Book Leave in the list and select Enable.

Add the following menu options manually to your menu profile.
