Action Required and Approvals in Access Evo Navigator

Employees and managers can view items requiring their attention and take action on approvals directly from Access Evo Navigator, without navigating to a separate system.

Access Evo Navigator surfaces two related features for managing actions and approvals. The Action Required section appears on the Navigator dashboard and alerts employees and managers to items requiring their attention. The Approvals quick action gives managers a dedicated view to review and act on pending approval requests from their team. Both features retrieve data in real time from PeopleXD and are kept in sync automatically.

These features are available to all clients. Action Required cards and Approvals are displayed based on the user's role and permissions in PeopleXD.


The Action Required section

The Action Required section is displayed on the Navigator dashboard, between the Quick Actions grid and any quick sections. It surfaces items from the activity feed that require attention from the current user.

Each card in the Action Required section shows the priority level, the type of action (for example, Missed Clockings, Leave Requests), the number of items, a short description, and a View link. Selecting View opens the relevant quick action or system view to complete the action.

Action Required cards are generated automatically based on activity in PeopleXD. Current action types include missed clocking approvals, leave request approvals, expense approvals, employee form approvals, manager form approvals, and shift swap approvals. Additional action types will be added as new features are released.


The Approvals quick action

The Approvals quick action is available to managers and gives a dedicated view of all pending approval requests from their team. Select Approvals from the Quick Actions grid to open the panel. The panel shows the total count of pending approvals and a list of individual requests. Each approval card shows:

Item

Description

Employee name and avatar

The name and avatar initials of the employee who submitted the request.

Date

The date the request was submitted.

Request description

A short description of the request (e.g., Annual Leave request submitted. Action required.).

Type badge

Indicates the category of the approval request, such as Leave, Expense, Car, or Missed Clocking.

New badge

Displayed on approval requests that have not yet been viewed.

Use the Search by employee name bar to filter the approval list. Select any approval card to open the full Approval Details view.


Review and action an approval

  1. In the Approvals panel, select an approval card to open the Approval Details view. Review the request information including the employee name, request description, Unrostered Hours, Appointment ID, leave or request type, Duration, Date, and Job Title.

  2. If applicable, select View Unrostered Bookings to review any unrostered hours. Check any attached documents. Enter an optional Comment (maximum 500 characters).

  3. Tick I confirm that I have checked the details, then select Approve or Reject. A confirmation message is displayed and the item is removed from the pending approvals list.

Approval decisions are written directly to PeopleXD immediately. The employee is notified of the outcome. The request status is updated in the relevant PeopleXD module, and the approved action β€” such as a leave booking, expense payment, or clocking correction β€” is processed through PeopleXD automatically. Access Evo Navigator and PeopleXD are kept in sync in real time: activity in PeopleXD generates Action Required cards in Navigator, and actions taken in Navigator flow back into PeopleXD for processing.

πŸ“ŒNote: The confirmation checkbox must be ticked before Approve or Reject becomes active. What appears in Navigator is determined by three layers: first-time content seeded by The Access Group based on role; org admin availability configured by your Customer Evo Org Admin; and product access control, which is the final filter. If a user does not have a licence or permission for the underlying PeopleXD product, the item will not appear in Navigator β€” regardless of persona or availability settings. The types of approvals displayed will expand as new features are released.


Menu options required

To enable the Action Required section and Approvals quick action, administrators have two options:

Option 1 β€” Navigator Configuration screen

From the Navigator Configuration screen, locate Expense Approvals in the Menu Options list and select Enable. To access Navigator Configuration:

  1. From the Administrator Dashboard, select Site Manager.

  2. Select Open next to Navigator Configuration.

  3. Select the Menu Options Configuration tab.

  4. Locate Approvals in the list and select Enable.

πŸ“ŒNote: Ensure the user's security profile includes the Navigator β€” Approvals menu profile. As the Parent Link, enabling this will enable all other webservices required for approvals. The Action Required section is enabled automatically for users with applicable pending items.
