Set up data access

Customise the data that a user can access in Pay Planner.

Once you have set up user access to Pay Planner, you can manage their data access. Access to data depends on the user group role you assign. The table below outlines what each user group gives access to:

User Group

Data Access

Admin User

Access to everyone.

Manager User

Reports to Manager.

Support User

Based on People Management security access and/or criteria groups.

For those who have the Support User role, you can them grant additional access to data using criteria groups. You can do this in three steps:

  1. Create criteria groups.

  2. Create a data access group and assigning the relevant criteria groups.

  3. Assign users to the data access group.


Create criteria groups

To create or manage the criteria groups you will use, watch the video or follow the steps below.

  1. From the dashboard menu, search for and select Data Centre.

  2. Next to People Analytics Configuration, click Open.

  3. Click the Data Access tab, then click Actions.

  4. Select Manage Criteria Groups, then click Add.

  5. Fill in a name and click OK.

  6. Select the required reference data from the left-hand menu.

  7. Select the required values from the Available list.

  8. Click the right arrow to move the criteria to the Assigned column.

  9. Repeat steps 6 to 8 as required.


Create a data access group

To create a data access group and assign the relevant criteria groups, watch the video or follow the steps below.

  1. From the dashboard menu, search for and select Data Centre.

  2. Next to People Analytics Configuration, click Open.

  3. Click the Data Access tab, then click Actions.

  4. Select Create a Data Access Group.

  5. Fill in a name, then select whether to copy an existing group.

  6. Click OK, then click Assign Access.

  7. Select the required criteria groups from the list, then click OK.


Assign data access

To assign users to the data access group, watch the video or follow the steps below.

  1. From the dashboard menu, search for and select Data Centre.

  2. Next to People Analytics Configuration, click Open.

  3. Click the Data Access tab, then click Users.

  4. Select the relevant users, then click Assign Access.

  5. Select Data Access Group, then click OK.
