You can customise the invitation emails sent to new users on PeopleXD Evo. This allows your organisation to control messaging, branding, and tone during onboarding, rather than using the standard Evo invite. Make sure the correct permissions are assigned to the admin profile.
Required permissions
The following web service permissions must be enabled:
WS_SYSTEM_MENU.PATCH_WORKSPACE_CONFIG_INVITE_CUSTOMWS_SYSTEM_MENU.GET_WORKSPACE_CONFIG_INVITE_CUSTOM
Enable custom invites
To start using custom invitation emails:
Go to Security > Evo Configuration > Evo Invites
Turn on Enable custom invites
What happens next
Once enabled:
New users are automatically synced as active
Invitation emails are sent from your XD instance
Users receive your custom email instead of the default Evo template
Configure your custom invitation email
Set up the content and messaging of your invite.
Go to Security and click Evo Configuration.
Click Evo Invites.
Click Actions and select Custom Email Invites.
Enter an email subject (required).
Enter the email body (required).
Personalise your email
You can include dynamic fields that automatically populate user details:
<<PERSONNEL_NO>>โ personnel number<<FORENAME>>โ first name<<SURNAME>>โ last name

โ ๏ธImportant: The Evo invite link is automatically added to the end of your email bodyโyou donโt need to include it manually.
Send invitation emails
Invitations can be triggered in two ways.
Manual bulk send
Go to Security > Evo Configuration
Select Bulk Send Invites
Automatic overnight job
The system runs a scheduled job each night
Invitations are automatically sent to eligible users
How invite sending works
Invites are only sent to users who have not already received one
This applies to both manual and automatic sending
