Manage user accounts

Create, configure, and maintain portal user accounts in PeopleXD.

The Security dashboard allows you to create and manage user accounts for PeopleXD. You can create portal accounts, reset passwords, lock or unlock accounts, and configure authentication settings.


Access the Security dashboard

To access the Security dashboard and manage user accounts, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. Click the User Management tab.

  3. The System Users widget displays all user accounts.


Search for a user account

To find a specific user account, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. On the System Users widget, in the Search users field, enter the username.

  3. From the drop-down menu, to refine your search, select any of the filters:

Filter

Description

All Active Portal Accounts

Portal accounts that are currently active.

All Portal Accounts

All portal accounts, including inactive accounts.

Logged In

Users currently logged in to the portal.

Logged Out

Users not currently logged in to the portal.

Locked Out

Users currently locked out of the portal.

Two Factor Not Enabled

Accounts without two-factor authentication.

Older Password Algorithm

Accounts using an older password algorithm.

DB Schema Linked Accounts

Accounts linked to the database schema.


View user account status

The Current Status widget on the System Overview tab displays a snapshot of all portal user account statuses.

To view users by status, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. Click the System Overview tab.

  3. On the Current Status widget, click VIEW beside one of the following:

Status

Description

Logged In

Users currently logged in. You can click LOG OUT to force a user to log out.

Locked Out

Users locked out due to invalid login attempts, manual locking, or system lockout.

Logged Out

Users not currently logged in.

Yet To Log In

Users with accounts who have never logged in.


Create a new portal user account

To create a new portal user account, watch the video or follow the steps below:

⚠️ Important: Link all employee accounts to their corresponding employee record. This ensures users see the correct information on the Employee Dashboard, Manager Dashboard, and other areas.

  1. From the dashboard menu, search for and select Security.

  2. On the System Users widget, click CREATE NEW USER.

  3. From the User Type drop-down menu, select Portal.

  4. In the Username field, enter a Username. Checks username availability.

  5. Enter a Password that meets your organisation's password policy requirements.

  6. To configure the account immediately, turn on the Manage Account on creation toggle.

  7. Click OK.

  8. From the drop-down menu, select an employee to link the portal account to an existing employee record.

  9. Click OK.


Set a user's authentication type

The authentication type determines how a user logs in to PeopleXD. To set the authentication type, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. On the System Users widget, search for the user.

  3. Beside the relevant user, click the three-dot menu.

  4. Click Manage Account.

  5. On the General tab, from the Authentication Type drop-down menu, select one of the following:

    • Basic ESS Authentication: Username and password are stored on PeopleXD and are subject to the COREPORTAL account profile password policy.

    • LDAP - OID Authentication: Username and password are managed via LDAP, such as Microsoft Active Directory, for single sign-on.

  6. Changes save automatically.

πŸ“ŒNote: For users created through self-registration, the authentication type is set automatically based on the self-registration profile.


Reset a user's password

To manually reset a user's password, watch the video or follow the steps below:

To manually reset a user's password:

  1. From the dashboard menu, search for and select Security.

  2. On the System Users widget, search for the user.

  3. Beside the relevant user, click the three-dot menu.

  4. Click Manage Account then click Reset Password.

  5. In the New Password field, enter a password that meets the COREPORTAL account profile requirements.

  6. Click OK.

πŸ“ŒNote: The user can log in with the new password but will need to change it on their next login.


Lock or unlock a user account

Lock user account

To lock a user account and prevent access, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. On the System Users widget, search for the user.

  3. Beside the relevant user, click the three-dot menu.

  4. Click Manage Account.

  5. On the General tab, turn on the Locked toggle.

Unlock user account

To unlock a user account, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. On the Manage Portal Account screen, turn off the Locked toggle.

πŸ“ŒNote: A user account will be locked if the user exceeds the maximum number of allowed invalid login attempts set in the password policy, or if all users are locked out using the Lock System feature.


Activate or deactivate a user account

A user account will need to be active to log in to PeopleXD. For users who have left the organisation deactivate accounts.

Deactivate accounts

To deactivate a user account, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. On the System Users widget, search for the user.

  3. Beside the relevant user, click the three-dot menu.

  4. Click Manage Account then on the General tab, turn off the Active toggle.

Reactivate accounts

To reactivate a user account, follow the steps below.

  1. From the dashboard menu, search for and select Security.

  2. On the Manage Portal Account screen, turn on the Active toggle.
