Set up username accounts

Set up username accounts for employees without email addresses.

Username accounts allow employees to access PeopleXD Evo when a verifiable email address isn't available. However, email accounts are strongly recommended as best practice for authentication, security policy compliance, and self-service account management.

Active employees with email addresses on PeopleXD automatically sync to Access Evo Members. If an employee doesn't have an email address on their record, they don't sync automatically.

To set up a username account, an administrator must sync the account manually, set a temporary password, and email the login details to the user.


Username account limitations

Username accounts have the following limitations:

  • Users cannot manage their own password resets: Access Evo administrators must set temporary passwords for account creation or when a user forgets their password. This creates additional administrative overhead for IT teams.

  • Cannot apply company security policies: Security policies manage user authentication and session management, and are defined based on email domains. If a user doesn't log in with an email address, only the Default Security Policy in Access Identity can be applied.


Set up a username account

Sync the employee as a username account

  1. Log in to PeopleXD.

  2. From the dashboard menu, search for and click Security.

  3. Click User Management, then select Non-Synced Accounts from the list.

  4. Search for the employee, then turn on the Username toggle.

  5. Click the three-dot menu, then select Manage Account.

  6. Click Run Sync, then click OK.

  7. Log in to Access Evo, then click Members.

  8. Search for the employee's name to confirm the sync is complete.

πŸ“ŒNote: If successful, the account displays with a username symbol and their username is their Personnel Number.

Set a temporary password and send to the employee

  1. Log in to Access Evo, then click Members.

  2. Search for the employee then click the three-dot menu.

  3. Click Change Password, then fill in the details.

  4. On the confirmation screen, enter the temporary password you created.

  5. Click Copy to copy the following:

    • Organisation URL

    • Username

    • Temporary password

  6. Use the copied text to send the employee their login details.

πŸ“ŒNote: When the user logs in, they are prompted to change their password.


Switch from a username account to an email account

You can switch a username account to an email account by adding an email address to the employee's HR record in PeopleXD. When you update the email address, the Members Sync process automatically runs for that record:

  • The email address syncs to the Access Evo Member record.

  • The Access Evo account type updates to Email.

  • An invitation email is automatically sent to the user to complete their email account verification.
