Configure Back Office in a Tab access for a user

Configure a user’s Portal and Back Office accounts so they can launch PeopleXD Back Office from the Access Button in PeopleXD Evo.

Written by James Pardy

The user’s Portal account and Back Office account must both be linked to the same employee record. The Portal account also requires the appropriate menu option, while the Back Office account must have Proxy User enabled.

Prerequisite

Back Office in a Tab must be enabled for your environment by Access Group before these settings take effect.

If you are unsure whether this feature has been enabled, contact your Access Group account representative.

Configure the Portal account

The Portal account requires:

  • An HR Person Link to the user’s employee record.

  • The CorePortal - Quick Jump to CoreHR Back Office Link Single Sign On 11G+ menu option.

  1. In XD Security, go to Security Dashboard > System Users.

  2. Search for the user and set the account type filter to All Evo Accounts.

  3. Check the Employee column:

    • If an employee is shown, the HR Person Link is already configured. Continue to step 4.

    • If the column is empty, open the user record and select Edit.

  4. If required, set HR Person Link to the user’s employee record.

  5. Check that the following menu option is available to the user:

CorePortal - Quick Jump to CoreHR Back Office Link Single Sign On 11G+

Add the menu option to an existing Menu Profile, or create a new Menu Profile if required.

  6. Select Save.

Configure the Back Office account

The Back Office account requires:

  • An HR Person Link to the same employee record as the Portal account.

  • Proxy User enabled.

  1. In XD Security, go to Security > System Users.

  2. Search for the user and set the account type filter to All Back Office Accounts.

  3. Check the Employee column:

    • If an employee is shown, the HR Person Link is already configured. Continue to step 4.

    • If the column is empty, open the user record and select Actions > Link to HR Person.

  4. Search for and select the user’s employee record.

Important: The Portal account and Back Office account must link to the same employee record. This shared link is required for single sign-on between PeopleXD Evo and Back Office.

  5. Select Edit and enable the Proxy User indicator.

  6. Select Save.

Verify the configuration

After both accounts have been configured:

  1. Sign in to PeopleXD Evo as the user.

  2. Open the Access Button.

  3. Check that PeopleXD Back Office is listed under Products.

  4. Select PeopleXD Back Office.

  5. Confirm that Back Office opens in a new Evo tab without requiring the user to sign in again.

If PeopleXD Back Office is not displayed

Check the following:

  • Back Office in a Tab is enabled for the environment.

  • The Portal account has an HR Person Link.

  • The Back Office account has an HR Person Link.

  • Both accounts are linked to the same employee record.

  • The Portal account has the CorePortal - Quick Jump to CoreHR Back Office Link Single Sign On 11G+ menu option.

  • Proxy User is enabled on the Back Office account.

  • Changes to both accounts have been saved.

Result

The user can select PeopleXD Back Office from Products in the Access Button. Back Office opens in a new Evo tab using single sign-on.
