PeopleXD Evo administrator organisation roles overview

Understand the differences between the Access Evo Administrator and XD Admin organisation roles, and assign them to users.

When PeopleXD is synced with Access Evo, two distinct administrator organisation roles are available. Having two roles prevents accidental changes in Access Evo members that could create sync conflicts with PeopleXD, whilst ensuring Access Evo administrators can still manage platform settings, branding, and user access to products and features.

For example, the ability to change email address is not available for an XD Admin as changes to member email addresses should come from PeopleXD to ensure that PeopleXD and Access Evo are kept in syncโ€‹.

The two administrator organisation roles available are:

  • Access Evo Administrator: This role grants full access to manage all Access Evo platform settings, member records, and configurations.

  • XD Admin: This is a limited version of the Access Evo Administrator role that restricts access to member management actions.

Synced employee data restrictions

For synced employees, the following fields sync from PeopleXD and must not be updated in Access Evo Members.

  • Forename

  • Surname

  • Email address

  • Reports to manager.

  • Job title

  • Department

  • Location

  • Status (active or inactive)

๐Ÿ“ŒNote: If you have non-employee users accessing other Access Evo products, Administrators can add and manage these members without sync conflicts.


Assign an administrator organisation role in Access Evo

To assign a user either the Access Evo Administrator or XD Admin role, follow the steps below.

  1. Log in to Access Evo then click the Members icon.

  2. Search for the user, then click the three-dot menu.

  3. Click Manage Roles.

  4. From the Organisation Role drop-down menu, select Administrator or XD Role.

  5. Click Save Changes.

Assign an organisation role in bulk

To assign a user an organisation role in bulk, follow the steps below.

  1. Log in to Access Evo then click the Members icon.

  2. To select the relevant members, click the tick icon.

  3. In the Actions menu, click Add then select Assign Organisation Role.

  4. From the list, select an Organisation role then click Set Role.

  5. Click Apply.
