Syncing PeopleXD to your existing Access Evo organisation unlocks unified platform capabilities. PeopleXD becomes your source of truth, automatically syncing starters, movers, and leavers to Access Evo. This means you only need to update permissions for your other products as required.

Plan for the integration

Before syncing PeopleXD to your existing Access Evo organisation, complete the following planning steps.

  1. Engage with existing Access Evo users.

  2. Review and clean up user accounts.

  3. Determine Access Evo organisation administrators.

  4. Check Access Identity configuration.

  5. Check if Evo features are enabled.

Engage with existing Access Evo users

Contact colleagues who already use Access Evo before scheduling the sync. When PeopleXD is synced, current users and administrators are impacted:

  • Employees see PeopleXD options in Access Button.

  • Administrators no longer add or deactivate accounts for joiners, movers, or leavers.

⚠️Important: Do not schedule the sync until you have consensus with existing Evo organisation owners.

Review and clean up user accounts

PeopleXD employee records automatically sync to existing Access Evo members based on email address. If the sync cannot match on email, a new member record is created.

We recommend you review the users already set up as Access Evo members and identify any clean up required before employees are synced from PeopleXD.

Consider the following:

  • Are users on email or username accounts?

  • Are there active accounts for leavers?

  • Are there different email addresses in use for the same person, for example, a personal email on Access Evo and a company email on PeopleXD?

Determine Access Evo administrators

Identify the right people or teams who should have administrator permission for your Access Evo organisation. We recommend you review this in line with your organisation's platform administration processes.

Consider the following:

  • Should the IT team take ownership of system configuration and user management?

  • Should the PeopleXD system owners take on this responsibility?

  • Can existing administrators retain that permission, or should they be set back to standard user permissions as part of this update?

Check Access Identity configuration

Your domains may already be configured in Access Identity based on your organisation's authentication requirements. If so, you do not need to configure this again. The existing configuration will be available to validate on the PeopleXD Evo UAT or non-production environment as part of the update project.

Alternatively, this may be an opportunity to upgrade your authentication. For example, users may be logging in today using email and password only, but you require SSO for PeopleXD. The project team supports this setup and validation.

⚠️ Important: Any changes you apply in Access Identity immediately impact existing Access Evo users.

Check if Evo features are enabled

The PeopleXD Evo update does not include the PeopleXD integration with Copilot AI Assistant or the feed.

If Copilot AI Assistant or feed are already enabled on the Access Evo organisation, you can manage features in Members to restrict access to new users synced from PeopleXD.

Are non-employee users supported?

Yes. If you need to set up a non-employee user on Access Evo, add them directly in Access Evo using the Add Member process. This is the current process your Access Evo administrators use whilst PeopleXD is not integrated.

How do I know if we have an existing Access Evo organisation?

If you are not already aware of this, do not worry. We will identify where an Access Evo organisation is already in place for your organisation, and provide specific guidance as to how this shapes the PeopleXD Evo update for you.

Can we update to PeopleXD Evo without connecting our existing Access Evo organisation?

We do not recommend this, as one of the primary goals of Access Evo is to simplify how you access your Access Group products. This means all of your products are connected on a single instance of Access Evo.

Multiple Access Evo organisations can create user experience issues:

  • Single url and log in: As there is a single Access Evo URL and log in, a user will have access to multiple Access Evo organisations, each with a different set of products. Users may think that they have lost access to particular products, not realising they need to switch organisations.

  • Manually switching organisations: Users need to recognise they are not in the correct Access Evo organisation, then switch to the correct one using the dropdown list.

  • Maintaining multiple sites: Ongoing management of multiple sites is subject to risk for example, new members could be added to the wrong Access Evo organisation.
